What is AI in Kanban Zone?
Learn how AI works across three levels in Kanban Zone and what the AI Complete, Human Done principle means for your team.

Kanban Zone includes a built-in AI system that operates inside your workflows. It is not a chat tool layered on top of your boards. It works within the context of your cards, columns, and automations to help you and your team move real work forward.

AI in Kanban Zone operates at three levels.

1. Embedded AI

Embedded AI lives inside the Kanban Zone interface. It is powered and managed by Kanban Zone. You do not need to connect an external AI service or configure anything to use it.


This is where the five AI agents live: Guide, Card, Board, Insights, and Flow. Each agent works within a specific part of your workflow and responds to what is happening on your boards.

2. System AI

System AI operates inside your workflows. It runs automations and triggers that you configure. You control when it activates and what it does.


This level lets your team embed AI behavior into the flow of work itself — not just on demand. Instead of asking AI a question, your workflow asks it for you, at the right moment, based on conditions you define.


3. External AI

External AI connects Kanban Zone to developer-built integrations and external services. It is designed for technical users and partners who want to extend Kanban Zone beyond its interface — for example, triggering actions from external systems, connecting via API, or building custom workflows through MCP integrations.


How the Levels Work Together

Most users start with Embedded AI and never need to go further. System AI becomes valuable when your team has recurring patterns that should run automatically. External AI is for builders who want to connect Kanban Zone to other systems entirely.


Each level builds on the one before it. The same principle applies across all three.

What AI Does and Does Not Do

AI in Kanban Zone proposes. Your team decides.


When an agent generates content, breaks down a card, or recommends a next step, it produces a result for you to review. You confirm, edit, or discard before anything changes in your workflow.


The Flow agent works differently. Once you have reviewed and activated an automation, it executes automatically based on the rules you defined. No manual step is required each time — but no automation runs without your explicit setup.


This is the principle behind everything AI does in Kanban Zone: AI Complete, Human Done.
