Managing AI Agents
Learn how to view, activate, assign, edit, and delete AI agents on your boards.

AI agents created by the Flow agent are managed from Board Settings. Each agent belongs to the board on which it was created. From this screen, you can view, activate, assign, edit, and delete agents.


To open AI Agents, go to Board Settings > AI Agents.


What You See on the AI Agents Screen

Each agent row shows the following:

  • Agent — the agent's name and a description of what it does and when it runs.
  • Assigned to — where the agent is currently deployed on the board. If the agent is active but not yet assigned to a column or automation, this field shows "Assign on a column" in red. An active agent that is not assigned will never run.
  • Active — a toggle that enables or disables the agent. When disabled, the agent remains on the board but does not run.
  • Runs/mo — the number of times the agent has run this month.
  • Edit — opens the Edit AI Agent panel, where you can update the agent's name, description, and prompt.
  • Delete — permanently removes the agent from the board.
  • At the top of the screen, you can filter agents by All, Active, or Inactive, and search by name. The total number of agents on the board is shown in the top right.


Who Can Manage Agents

Members with Collaborator or Admin access on the board can create, edit, and delete agents. Viewer-level members cannot modify agents.


Activating and Deactivating an Agent

Use the toggle in the Active column to enable or disable an agent at any time.



When an agent is deactivated, it stops running immediately. It remains on the board and retains its assignment. You can reactivate it at any time.


When you activate an agent that has not yet been assigned, the Assigned to field will show "Assign on a column" in red. The agent will not run until it is assigned.


Assigning an Agent to a Column

Agents do not run automatically after activation. You must assign each agent to at least one column, task, or automation rule before it will fire.


To assign an agent to a column, click "Assign on a column" in the Assigned to field, or go to the column settings on the board and select the agent from the AI Agent dropdown.


Editing an Agent

Click the edit icon on any agent row to open the Edit AI Agent panel.



From here, you can update:

  • Name — the label shown in the agent list and in column settings
  • Description — a plain-language explanation of what the agent does and when it runs
  • Prompt — the full instruction set that defines the agent's behavior



The primary way to edit an agent's prompt is to click Edit with Flow agent. This opens the Flow agent in a guided conversation, allowing you to refine the agent's behavior without directly editing the prompt. You can also edit the prompt manually in the Prompt field if you prefer.


Deleting an Agent

Click the delete icon on any agent row to remove it from the board.


Deleting an agent removes it from every column and automation on the board where it is assigned. This cannot be undone. If you want to stop an agent from running without losing it, deactivate it instead.


Creating a New Agent Manually

Click + New agent in the top right to open a blank Edit AI Agent panel. You can fill in the name, description, and prompt directly, or click Edit with Flow agent to have the Flow agent guide you through the design.



For most users, designing agents through the Flow agent produces better results than writing a prompt from scratch.
